What the QuickBooks Online Integration Does

Exactly what it does today — no vaporware, no overstated claims.

Two-way customer sync

Once a customer is linked between CrewNest and QuickBooks Online, edits sync in both directions. New customers you add in CrewNest are pushed to QuickBooks and linked, so your synced records stay aligned without re-keying.

Invoice push to QuickBooks

Invoices you create in CrewNest are pushed into QuickBooks Online, mapped to the matching customer, so your accounting sees the revenue without re-keying line items.

Expense push to QuickBooks

Expenses logged in CrewNest are pushed into QuickBooks Online against your expense accounts, so job costs land in your books alongside everything else.

Sync history you can audit

Every sync run is logged — what was created, updated, skipped, or failed — so you can see exactly what moved between the two systems and when.

How It Works

Connect your QuickBooks Online company

Authorize CrewNest from your business settings using QuickBooks' standard OAuth flow. CrewNest stores the connection per business.

CrewNest links your customers

Customers are linked by a stored QuickBooks ID. New customers added in CrewNest are created in QuickBooks and linked, then kept in sync both ways. Customers that already exist separately in both systems are matched manually for now.

Invoices and expenses flow to QuickBooks

As you create invoices and log expenses in CrewNest, they're pushed into QuickBooks Online and mapped to the right customer and accounts.

Review each sync in the history log

Open the sync history to confirm what synced. Failed records are surfaced with the reason so you can fix and re-run.

Frequently Asked Questions

Is the QuickBooks Online integration live yet?

The QuickBooks Online integration is currently in beta. The customer, invoice, and expense sync is built and working, and we're onboarding businesses gradually. Join the waitlist to get access as we roll it out.

Which direction does the data sync?

Customers sync two ways — changes in either CrewNest or QuickBooks Online are reconciled. Invoices and expenses are one-way: CrewNest pushes them into QuickBooks Online. CrewNest does not pull invoices or expenses back from QuickBooks.

Do I still need QuickBooks for accounting?

Yes. The integration keeps CrewNest and QuickBooks Online in sync so you don't double-enter data — it doesn't replace QuickBooks. You continue to run taxes, payroll, and full accounting inside QuickBooks.

What happens if a record fails to sync?

Failed records are logged in the sync history with the reason they failed. Nothing is silently dropped — you can correct the record in CrewNest and re-run the sync.
