1. Introduction

CrewNest is a product of 1001545511 ONTARIO LIMITED, operating as Kinetic Labs ("CrewNest," "we," "our," or "us"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our field service CRM platform.

By using CrewNest, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

• Name and email address (via Clerk authentication)
• Business name and contact information
• Profile picture (if provided)

2.2 Business Data

To provide our services, we store:

• Customer information (names, addresses, phone numbers, emails)
• Job and scheduling data
• Estimates, invoices, and contracts
• Team member information
• Property measurements and photos

2.3 Payment Information

Payment processing is handled by Stripe. We do not store your full credit card numbers. Stripe's privacy policy applies to payment data.

2.4 Communication Data

CrewNest sends two distinct kinds of text message, from two different numbers, under two separate consents.

Platform notifications, sent by CrewNest. If you add a mobile number to your CrewNest account or team-member profile, we send you operational notifications about your own work inside CrewNest — for example, when a job is assigned to you, or when a teammate sends you a reminder about a pending job. These are sent from CrewNest’s own number, only to people who hold a CrewNest login, and are never sent on behalf of another business. Adding a mobile number is optional and is not a condition of purchase; if you leave it blank you simply receive no texts. Reply STOP at any time to stop them or HELP for help, or remove the number from your profile. Message frequency varies. Message and data rates may apply.

Customer messages, sent by a business using CrewNest. If a business uses our SMS features (powered by Twilio) to communicate with its own customers, we store message content and metadata to enable those communications. When a customer separately opts in to CrewNest service-related text messages, we record the consent choice, time, and source. Consent is optional and is not a condition of purchase. Message frequency varies. Message and data rates may apply. Recipients may reply STOP to opt out or HELP for help.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

2.5 Usage Data

We automatically collect information about how you use CrewNest, including pages visited, features used, and device information.

2.6 AI assistant plugin (ChatGPT / Claude)

CrewNest Job Pricing is a plugin you can add to ChatGPT or Claude. It answers job pricing questions from CrewNest's public calculators. This section covers what happens when an assistant calls it.

• No login and no stored inputs. The plugin has no account and no sign-in. What you ask, and the job details the assistant sends (such as the service and the lawn size), are used to work out the answer and are not stored.
• Rate limiting. To stop abuse, we count calls per caller for one minute. The key is the anonymous per-user id ChatGPT sends, or failing that your IP address. We hash the key before using it, never log it, and the counter expires after the one-minute window.
• Logs. Each call writes one log line: the tool name, the service (for example, lawn mowing), whether it succeeded, and how long it took. It holds none of your inputs and no IP address or user id.
• Usage records. We also keep a usage record for each call so we can see how the plugin is used: the tool, the service, the outcome (and an error type if it failed), the latency, which assistant it came from (ChatGPT, Claude, Codex or other) with the app name and version that assistant reports, and when the call happened. It holds no personal information, so it cannot be tied to you. We keep these records while the plugin is offered, and we do not share them with anyone else.
• Links in answers. An answer may include a link to a CrewNest calculator or a link to open the estimate in CrewNest. The second carries the estimate (service, price, size and a short summary) in the URL. Opening either link is an ordinary visit to crewnest.app, and the usage and cookie terms above apply. No account is created unless you sign up.

The assistant you use (OpenAI for ChatGPT, Anthropic for Claude) handles your conversation under its own privacy policy. Questions about this plugin can go to support@crewnest.app.

3. How We Use Your Information

We use your information to:

• Provide and maintain our service
• Process transactions and send related information
• Send administrative emails (account updates, security alerts)
• Respond to customer support requests
• Improve our platform and develop new features
• Detect and prevent fraud or abuse
• Comply with legal obligations

4. Third-Party Services

We use trusted third-party services to operate CrewNest:

• Clerk - Authentication and user management
• Stripe - Payment processing
• Twilio - SMS messaging
• Resend - Transactional emails
• Google Maps - Satellite imagery and geocoding
• Turso - Database hosting
• Meta - Ad measurement for Facebook and Instagram ads

Meta (Facebook and Instagram ads). We use the Meta Pixel in your browser and the Meta Conversions API on our servers to measure which ads lead to signups, trials, subscriptions and first estimates sent. When one of those happens we send Meta the event name, the estimate or subscription amount, your IP address and browser type, and Meta's own ad click cookies. We also send your name, email, phone number, user ID, city, state, postal code and country, but only after hashing them with SHA-256, so Meta can match the event to an ad without receiving those details in readable form. We never send the content of your estimates, your customers' details or payment card data.

When you use one of our free calculators, the Meta Pixel also tells Meta which calculator you used, its trade (for example lawn care or snow removal) and the estimated price it showed, and whether you clicked to send that estimate as a quote. We use this to show CrewNest ads to people who used a calculator. If you then sign up, our server sends the quote click again with the hashed details above. We do not send calculator events from a browser where you have signed in to CrewNest.

Each service has its own privacy policy governing the data they process on our behalf.

5. Data Security

We implement appropriate security measures including:

• Encryption in transit (HTTPS/TLS)
• Secure authentication via Clerk
• Role-based access controls
• Regular security audits

While we strive to protect your data, no method of transmission over the Internet is 100% secure.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide services. You can request deletion of your account and associated data by contacting us at support@crewnest.app.

7. Your Rights

Depending on your location, you may have rights to:

• Access your personal data

8. Cookies

We use essential cookies for authentication and session management. We may use analytics cookies and session replay tools, including Microsoft Clarity, to understand how users interact with our platform. We also use Meta's advertising cookies (_fbp and _fbc) to measure our ads. You can control cookies through your browser settings.

9. Children's Privacy

CrewNest is not intended for users under 18 years of age. We do not knowingly collect information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
